Quick answer

SMS alerts for employees are internal messages a company sends to its own staff: shift changes, roster updates, payroll credit notices, IT incident updates, office closures and emergency alerts. They are service messages under DLT, reach DND numbers and work on basic phones. Collect staff consent at joining and keep alerts work-related.

When SMS alerts for employees beat email and chat

Email works for desk staff during office hours. Chat groups get noisy and people mute them. SMS alerts for employees reach everyone, including security guards, nurses on night shift, delivery executives, sales reps on the road and factory workers who do not carry smartphones.

A hospital can send nursing roster changes the evening before. A security agency can confirm guard postings for each site. An IT services company can tell employees that office internet is down and to work from home, or that a building is closed because of heavy rain. A field sales team can get daily beat plans and targets before 9am.

Typical internal alerts and their setup

Internal alerts are service messages, because they go to people who work with you. Register them with a -S header.

  • Shift and roster changes with date, time and location.
  • Payroll credited notice without the salary amount.
  • IT incident, VPN outage or planned maintenance window.
  • Office closure, weather alert and building evacuation drill.
  • Login OTP for internal tools, VPN or HR portal.

Planning for emergencies before they happen

Emergency alerts work only if the setup is ready before the emergency. Keep approved templates for office closure, evacuation, flood or heavy rain warnings and IT outages, with variables for location and time. Name two or three people who can send them, and make sure they can log in from a phone.

Run a test broadcast twice a year with a reply OK request, and compare the replies against your staff list. Numbers that fail or never reply are usually outdated, so send them to HR for correction. Combine the SMS with an automated voice call for staff in plants, warehouses and hospitals where phones are often kept in lockers during a shift.

Acknowledgement, voice and WhatsApp

For critical alerts, ask employees to reply OK. Two-way SMS collects the replies in one report, so supervisors can call only those who have not responded. For loud shop floors or staff who cannot read, add an automated voice call with the same message.

WhatsApp works for policy documents, holiday calendars and training videos where employees have opted in. Keep SMS for time-critical and safety alerts. Use a separate sub-account for internal alerts so HR, IT and operations each see their own reports and costs.

FAQ

Frequently asked questions

Do internal staff SMS need DLT registration?

Yes. Any commercial SMS sent from a business header in India needs DLT registration, including messages to your own employees. Register your company as a Principal Entity, book a service header and approve templates for shift, IT and emergency alerts. Internal alerts use the service route and reach DND numbers.

Can employees acknowledge an alert by SMS?

Yes, with two-way SMS. Ask staff to reply OK or a short code. Replies arrive in our panel or at your server by webhook. You get a list of who replied and who did not, so supervisors can call the rest during emergencies or urgent shift changes.

Is it okay to send salary details by SMS?

It is safer to send only a payroll credited notice without the amount, and ask employees to check the payslip on your HR portal. SMS can be seen on a lock screen or by family members. Keep appraisal, medical and disciplinary matters out of SMS altogether.

How fast can we send an emergency alert to all staff?

Our platform handles up to about 10,000 SMS per second over direct operator routes, so even large workforces receive a broadcast in a short time. Keep an approved emergency template ready in advance, and keep your staff list up to date, so you only need to fill in the details when it matters.

What does employee SMS cost?

Internal alerts are billed like any SMS: ₹0.20 per delivered SMS on Starter or ₹0.15 on Business, plus 18% GST, with no monthly fee. A company with 500 employees sending ten alerts a month uses about 5,000 SMS, which fits the Starter plan.
